I compared four solutions that make sense for growing businesses: Pipedrive, Caflou, FLOWii and Odoo. Each one is strongest for a different type of company and stage of growth.

How I selected the best CRM systems

I did not compare CRM systems only by the number of features. Daily ease of use, quality of lead and deal management, automation, reporting, integrations, room to grow and value for money were more important. I also considered whether each system can replace additional standalone tools and how well it fits small and midsize businesses.

That is why there is no single universal winner. Pipedrive is the strongest sales specialist, Caflou is better for projects and business economics, FLOWii covers a broader set of operational processes and Odoo can expand CRM into a complete ERP ecosystem.

1. Pipedrive – best CRM for sales teams

Pipedrive is my first choice for a company that mainly needs to manage leads, deals, follow-ups and its sales pipeline. It is clear, easy for salespeople to understand and, on higher plans, adds strong email synchronization, automation, sequences, forecasting and AI without unnecessary ERP complexity.

Pipedrive’s biggest advantage is its visual pipeline. Every deal sits in a clear stage and the salesperson can immediately see what should happen next. That reduces the risk of leads and open opportunities getting lost between emails, spreadsheets and notes.

The current plans are Lite, Growth, Premium and Ultimate. With annual billing they cost US$14, US$39, US$59 and US$79 per seat per month. Lite is enough for a basic pipeline, but for an active sales team I see Growth as the more practical starting point because it adds email sync, automation and follow-up sequences.

  • Best for: B2B sales, sales teams, agencies, consultants and service businesses.

2. Caflou – best CRM for projects and cash flow

I recommend Caflou to companies that do not want CRM separated from projects, invoicing and job economics. Alongside contacts and deals, it can manage projects, tasks, time, budgets, invoicing, income, expenses and cash flow. That makes it particularly useful for agencies, consultancies, IT services and other project-based businesses.

While Pipedrive is the cleaner pure sales CRM, Caflou continues beyond the closed deal. In one system you can track the customer and opportunity as well as project delivery, time spent, invoicing and financial performance.

With monthly billing, the Trout plan costs €16 per month, Carp €42 per month and Dolphin €200 per month. The current price list gives a 20% saving with annual billing. Caflou also offers a 14-day free trial.

3. FLOWii – best all-in-one CRM for SMBs

FLOWii is a strong choice for a small or midsize company that does not want to treat CRM as an isolated tool. In addition to sales and contacts, it includes invoicing, jobs, tasks, finance, attendance, inventory and other operational functions. Its strength is combining several everyday business processes in one environment.

FLOWii makes the most sense when you currently use one app for contacts, another for invoices, another for tasks and yet another for attendance. For smaller businesses, consolidating tools can create more value than having the most advanced sales automation available.

The CRM license costs €11 per user per month or €9.35 with annual billing. PREMIUM costs €26 per month or €22.10 with annual billing. There is also a FREE version and a 30-day trial of all functions without a credit card.

4. Odoo – best CRM as part of an ERP

I recommend Odoo to companies that do not want to stop at CRM and plan to manage sales, invoicing, accounting, inventory, purchasing, projects, website or eCommerce in one ecosystem. CRM is only one module in a much broader platform. That creates huge flexibility but also makes implementation more demanding than with a simple CRM.

The advantage of Odoo is that as the company grows you do not have to replace the CRM with a completely different ERP. You can add more applications over time and connect sales with other business processes. This is particularly powerful for distribution, manufacturing, eCommerce and companies with more complex operations.

One App Free lets you use one application at no cost with unlimited users on Odoo Online. The current Standard price with annual billing is US$24.90 per user per month and Custom costs US$49. The higher plan adds features such as Studio, multi-company, external API and additional deployment options.

How to choose a CRM system

Before choosing a CRM, map your process from the first lead to a paid customer and decide which parts must live in one system. If you only need sales, do not pay for ERP complexity. If a closed deal leads into a project, invoicing, inventory or service delivery, a CRM that is too simple can force you to stitch together many tools later.

If your priority is sales and pipeline

If your main problem is sales discipline, follow-ups, email communication and pipeline visibility, I would choose Pipedrive. Its narrower focus is an advantage here because users are not burdened with accounting, inventory or other modules that a sales team does not need every day.

If projects and profitability start after the sale

If winning a customer is followed by project delivery, time tracking, budgets, invoicing and profitability management, Caflou makes more sense than a pure sales CRM. Customer, deal, project and financial data stay in one system instead of being split between CRM, project management and finance tools.

If you want an all-in-one SMB system

If you want CRM, invoicing, tasks, jobs, attendance, finance or inventory in one environment, FLOWii is a practical candidate. Its main advantage is combining functions that smaller businesses often manage across several SaaS products.

If CRM needs to grow into ERP

If you already know that CRM is only the first step and you will later need inventory, purchasing, manufacturing, accounting, eCommerce or other business modules, look at Odoo. Implementation is more demanding, but the company can expand one ecosystem instead of migrating between unrelated systems.
